Privacy Policy
This policy explains what personal information we collect when you visit our website, contact us, book a call or join our newsletter, how we use and protect it, and the rights you have over it.
Last updated: September 25, 2026
Who we are and what this policy covers
This website, industrialprominence.com, is operated by Prominence LLC dba Industrial Prominence ("Industrial Prominence", "we", "us" or "our"), which provides organic digital marketing services for industrial companies.
Under the EU and UK General Data Protection Regulation (GDPR), Prominence LLC dba Industrial Prominence is the controller of the personal information described in this policy. Our details are:
- Company: Prominence LLC dba Industrial Prominence
- Address: [Registered address]
- Email: info@industrialprominence.com
This policy explains how we handle personal information when you visit our website, contact us or book a call, subscribe to our newsletter, or deal with us as a prospective client, client contact or business partner.
It does not cover personal information we handle on behalf of clients while delivering our services, such as data on a client's own website. There, we act as a processor for the client, and the client's privacy notice applies.
Your use of the website is also governed by our Terms & Conditions.
Information we collect
We collect only the information we need. Because our services are for businesses, this is mostly business contact information.
Information you provide to us
- Contact and call requests: your name, business email address, phone number, company name, job title, message and the meeting details you choose, such as date, time and topics.
- Newsletter sign-up: your email address, plus the date and time you gave consent and the page where you signed up, which we keep as a record of your consent.
- Business communications: information you share when you email or speak with us, and, if you become a client, details we need to deliver our services, such as billing contacts.
Please do not send us sensitive personal information, such as health data or government ID numbers. We do not need it.
Information collected automatically
- Server logs: our hosting provider records your IP address, browser and device type (user agent), the pages you request and the time of each request. We use these logs to keep the website secure and working.
- Cookie preferences: your cookie choices, stored in a first-party cookie so we can respect them on future visits.
- Analytics (only with your consent): if we use Google Analytics 4 and you accept analytics cookies, information such as pages viewed, approximate location derived from your IP address, device and browser type, and how you found the site. Analytics does not run unless you opt in.
Information from third parties
- Scheduling and email tools: if we use a third-party tool to manage call bookings, we receive the details you enter there, such as your name, email address, meeting time and answers to booking questions.
- Publicly available business information: we may review public information about your company and role, such as your company website or professional networking profiles, to prepare for a call.
How we use information and our legal bases
We use personal information for the purposes below. If you are in the European Economic Area (EEA) or the United Kingdom, the table also shows the legal basis we rely on for each purpose.
| Purpose | Legal basis |
|---|---|
| Responding to inquiries, and scheduling and holding calls | Legitimate interests (responding to business inquiries), or steps taken at your request before entering into a contract |
| Preparing proposals, providing our services and managing client accounts, including invoicing | Performance of a contract, or steps taken at your request before entering into one |
| Sending our newsletter and other marketing emails | Consent, which you can withdraw at any time by unsubscribing |
| Keeping a record of newsletter consent and unsubscribe requests | Legal obligation and legitimate interests (demonstrating compliance) |
| Measuring and improving the website with analytics | Consent, given through our cookie banner |
| Storing your cookie preferences | Legal obligation and legitimate interests (respecting your choices) |
| Keeping the website secure and fixing technical problems, including through server logs | Legitimate interests (protecting our website, systems and visitors) |
| Meeting legal, tax and accounting requirements | Legal obligation |
| Establishing, exercising or defending legal claims | Legitimate interests (protecting our rights) |
Where we rely on legitimate interests, we have balanced them against your rights. You can ask us about this assessment and you have the right to object (see "Your privacy rights").
We do not make decisions about you based solely on automated processing, and we do not profile you for advertising.
How we share information
We share personal information only with the parties below, and only as far as necessary.
- Service providers (processors): our website hosting provider, email delivery and newsletter tool, scheduling tool, analytics provider (only if analytics is enabled and you consent) and customer relationship management (CRM) system. They may use your information only to provide services to us, under contracts that require confidentiality and security.
- Professional advisors: such as accountants, lawyers and insurers, who are bound by duties of confidentiality.
- Legal and safety reasons: courts, regulators, law enforcement or others where the law requires it, or where needed to protect our rights, property or safety, or those of others.
- Business transfers: a buyer, successor or investor in connection with a merger, acquisition, financing or sale of all or part of our business, subject to confidentiality protections.
- With your permission: other parties when you ask us to or agree that we may.
We do not sell or share personal information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not done so in the past 12 months.
Under US state privacy laws, including the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA), a "sale" generally means disclosing personal information to a third party for money or other valuable consideration, and "sharing" means disclosing it for advertising targeted on your activity across different businesses or websites. We do neither, and we do not use personal information for targeted advertising as defined by other state laws.
By default, our website uses no advertising pixels or advertising cookies, and our fonts are hosted on our own servers rather than loaded from third-party font services.
Global Privacy Control. If your browser sends a Global Privacy Control (GPC) signal, we treat it as a valid request to opt out of the sale or sharing of your personal information and of targeted advertising for that browser.
International data transfers
Your personal information may be transferred to, stored in or accessed from countries other than the one where you live, including the United States, where data protection laws may differ from those in your country.
When we transfer personal information from the EEA or the UK to a country without an adequate level of protection, we use appropriate safeguards, such as:
- adequacy decisions of the European Commission or the UK government, including the EU-U.S. Data Privacy Framework and its UK Extension where the recipient is certified;
- the European Commission's Standard Contractual Clauses (SCCs);
- the UK International Data Transfer Agreement (IDTA) or the UK Addendum to the SCCs.
You can ask for more information about these safeguards by emailing us at info@industrialprominence.com.
How long we keep information
We keep personal information only as long as we need it for the purposes in this policy, or as long as the law requires. In general:
- Inquiries and call requests: up to 24 months after our last contact with you, unless you become a client.
- Newsletter subscriptions: until you unsubscribe. After that, we keep your email address and the record of your consent and unsubscribe request as proof of consent and to make sure we do not email you again.
- Client records: for the length of the client relationship and afterward for as long as the law requires, for example up to 7 years for tax and accounting records.
- Server logs: for a limited period for security purposes, generally no more than 12 months.
- Analytics data: as described in our Cookie Policy.
When we no longer need information, we delete or anonymize it. Copies held in backups are kept secure and deleted in the normal backup cycle.
How we protect information
We use reasonable technical and organizational measures to protect personal information against loss, misuse and unauthorized access or disclosure. These include encrypted connections (HTTPS), access limited to people who need it, keeping software up to date and choosing service providers with appropriate security commitments.
No method of transmitting or storing information is completely secure, so we cannot guarantee absolute security. If a personal data breach affects you, we will notify you and the relevant authorities where the law requires.
Your privacy rights
Depending on where you live, you have rights over your personal information. We respond to requests in line with the law that applies to you.
If you are in the EEA or the UK
Under the GDPR and UK GDPR, you have the right to:
- Access: obtain a copy of your personal information and details of how we use it.
- Rectification: have inaccurate or incomplete information corrected.
- Erasure: have your information deleted in certain circumstances, for example where we no longer need it.
- Restriction: ask us to limit how we use your information, for example while we check its accuracy.
- Portability: receive information you gave us in a machine-readable format, or have it sent to another organization, where we process it automatically based on consent or a contract.
- Objection: object to processing based on our legitimate interests, and to direct marketing at any time.
- Withdraw consent: withdraw consent you have given, for example for our newsletter or analytics cookies, at any time. This does not affect earlier processing.
- Complain: lodge a complaint with a data protection supervisory authority, in particular where you live or work or where you believe an infringement occurred. In the UK, this is the Information Commissioner's Office (ICO). We would welcome the chance to address your concerns first.
If you are a resident of the United States
Residents of California and other US states with comprehensive privacy laws have the following rights, subject to the conditions and exceptions in those laws:
- Know and access: know what personal information we collect, its sources, why we use it and who we disclose it to, and obtain a copy.
- Delete: ask us to delete personal information we collected from you.
- Correct: ask us to correct inaccurate personal information.
- Opt out of sale, sharing and targeted advertising: we do not do any of these things, and we honor Global Privacy Control signals.
- Limit the use of sensitive personal information: we do not collect sensitive personal information as defined by these laws.
- Non-discrimination: we will not treat you differently, for example by refusing a service or charging a different price, because you exercised your rights.
Authorized agents. You may use an authorized agent to make a request for you. We may ask for proof of your signed permission and ask you to verify your identity with us directly, unless the agent holds a valid power of attorney.
Appeals. If we decline your request, you can appeal by emailing info@industrialprominence.com with the subject line "Privacy appeal". We will respond in writing within the time required by law. If you are not satisfied, you can contact your state Attorney General.
Categories of information (California). In the past 12 months, we have collected identifiers (such as name, email and IP address), professional information (such as company and job title), commercial information (records of services purchased by clients) and internet activity (server logs and, with consent, analytics data). We disclose these for business purposes only to the service providers and advisors described in "How we share information".
How to exercise your rights
To exercise any of your rights, email us at info@industrialprominence.com. Tell us which right you want to exercise and include enough detail for us to find your records, such as the email address you used with us.
Verifying your identity. To protect your information, we confirm that a request comes from you or someone authorized to act for you, usually by matching your request with information we already hold, such as the email address on file. We use verification details only to handle your request.
Response times. We respond to requests under the GDPR and UK GDPR within one month, which we may extend by up to two further months for complex or numerous requests. We respond to requests under US state privacy laws within 45 days, which may be extended by a further 45 days where reasonably necessary. We will tell you if we need more time.
Exercising your rights is free, although we may charge a reasonable fee or decline requests that are manifestly unfounded or excessive, where the law allows.
You can also unsubscribe from our newsletter and change your cookie choices yourself at any time.
Cookies and similar technologies
We use a small number of cookies. Strictly necessary cookies are always active, for example to remember your cookie choices. Analytics and marketing cookies are optional and are set only if you opt in through our cookie banner.
You can change or withdraw your consent at any time using the "Cookie settings" link in the website footer or the button below. For full details, see our Cookie Policy.
Because there is no agreed standard for "Do Not Track" browser signals, our website does not respond to them. We do honor Global Privacy Control signals, as described above.
Marketing communications
We send our newsletter and other marketing emails only to people who have opted in through the required consent checkbox on our sign-up form, and we keep a record of when and where you gave consent.
Every email includes an unsubscribe link. You can also unsubscribe by emailing us at info@industrialprominence.com, and we will act on your request promptly.
After you unsubscribe, we may still send non-promotional messages about an inquiry you made, a call you booked or services we provide to you.
Children's privacy
Our website and services are intended for businesses and professionals. They are not directed to children under 16, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, please contact us at info@industrialprominence.com and we will delete it.
Third-party websites and services
Our website may link to other websites or include third-party features, such as a scheduling widget or an embedded video. We are not responsible for these third parties' privacy practices. Their own privacy policies apply, and we encourage you to read them.
Mentions of search engines or AI assistants on our website do not mean that we share your personal information with those companies.
Changes to this policy
We may update this Privacy Policy to reflect changes in our practices, our service providers or the law. We will post the updated policy on this page and change the date below. If we make material changes, we will let you know, for example with a notice on the website or, where appropriate, by email.
